Privacy

The Mary Erskine Former Pupils Guild is an independent, membership association formed in 1884.

The Guild is run by a volunteer committee elected by our members. The Mary Erskine Former Pupils Guild overseen by the Guild Committee takes your privacy seriously.  Your data will be collected and processed in accordance with the UK Data Protection Act 2018 and the UK General Data Protection Regulation (UK GDPR).

 

While you own your personal data, we are the controller of any personal data provided to the Guild. This privacy notice sets out why, how and for how long we will use your personal data as well as who it is shared with, your legal rights as a data subject and how to exercise them.

 

When you apply to become a member we will ask for your name, year of leaving and contact details. Any personal data provided will be looked after, kept securely and treated as confidential.

We need to collect these details as we are required to keep a list of our members and to manage your relationship with the Guild.  This information will only be used to provide you with information about your club, membership services and events. The Guild committee have identified that we have an obligation to collect these details which falls under both legitimate interests and contract for GDPR purposes.

The Guild will not collect or keep data that is not necessary and are transparent with our members.

 

The Guild will not share your information with any other party without your consent unless otherwise required by law (having first taken legal advice as to the necessity to comply with any request). Occasionally we may contact you to ask if your details can be passed to another party (rarely the school or other members) requesting these. This will only be done with your consent.

 

Your information is held electronically.  Your personal data will be kept for as long as is necessary to provide you with membership services. Unless you ask us not to.

 

You have a right to request the personal information we hold by making a subject access request which can be made using our contact form

 

You also have a right to request that we correct any personal data that is incomplete or inaccurate and you can change communication preferences with us restricting the use of your personal data to specific purposes.

Any complaints can also be made to the Information Commissioner’s Office at www.ico.org.uk although we would urge you to try to resolve these with the Guild first.
